RESPONSIBILITIES OF OFFICERS

The Chapter Leadership Team is comprised of the primary officers and secondary officers.  The following outline provides basic guidelines for primary and secondary officer responsibilities.  Each Chapter operates through a combination of officers and committees with the President presiding over the executive committee and the secondary officers presiding over their respective committees.  Within this structure, each chapter may have a unique approach to filling and managing these various positions.  As a result, specific responsibilities of each officer and committee can be unique from Chapter to Chapter as each Chapter Leadership Team adjusts to the mix of experience and skills available within the Team.

PRESIDENT

  • Be the officer primarily responsible for the growth and success of the chapter.
  • Act as the primary University liaison, meeting with administration and the chapter Advisor as necessary and beneficial to the chapter’s growth and success.
  • Call and preside over chapter meetings and officer meetings.
  • Appoint and oversee organizational functions of the chapter.
  • Be available to communicate with potential members regarding the activities of the chapter and Sigma Alpha Lambda.
  • Encourage members to remain in contact with Sigma Alpha Lambda after graduation.

VICE PRESIDENT

  • Assist the President with his/her duties.
  • Preside over the organization in the President’s absence.
  • Be the secondary officer responsible for the growth and success of the chapter.
  • Provide assistance to committee chairs as needed.
  • Keep regular communication with the President and the Advisor.

SECRETARY

  • Maintain all meeting attendance records.
  • Record and archive all financial documents and chapter records when there is no Historian is in place.
  • Maintain minutes of all chapter and Leadership Team meetings and forward to the National Office.
  • Coordinate communication between the National Office, the Local Chapter, the Officer Group and the Members. 
  • Keep Officer and Advisor contact information up to date both at the local chapter level, with the Student Activities Office and the National Office.

TREASURER

  • Keep a current accounting of the organization’s funds.
  • Deposit the organization’s funds.
  • Pay bills promptly and making expenditures in a manner approved by the Business Office for Student Organizations and the National Office.
  • Obtaining approval from the chapter President for all expenditures and approval from the National Office or the Chapter Advisor for all expenditures in excess of $100 and ensure the chapter does not incur any debt.
  • Prepare an Annual Budget for the chapter in conjunction with the President and reviewed with Chapter Leadership Team.
  • Coordinate off-campus bank account activity with the Executive Director.

VP PUBLIC RELATIONS

  • Develop ways to promote the organization and it’s activities on campus and in the community.
  • Inform the public of chapter community service activities and contact various individuals and organizations to identify new program opportunities.
  • Develop a recruiting plan to staff the Public Relations committee from the chapter membership.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Public Relations should be able to attend meetings of the chapter as called by the President.

VP COMMUNITY SERVICE

  • Oversee the identification, planning, development and execution of service projects in the community.
  • Work diligently to involve members in service to the community and participation in chapter projects.
  • Assist members in identifying ad-hoc service opportunities.
  • Support members striving to achieve the Presidential Student Service Award.
  • Coordinate with the National Office to involve the chapter in the Annual Focus Initiative.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Community Service should be able to attend meetings of the chapter as called by the President.

VP FUNDRAISING

  • Identify, coordinate and organize volunteer fundraising activities.
  • Coordinate the process of obtaining student activities funds to support various initiatives of the chapter.
  • Work in conjunction with other committees and the President to identify fundraising opportunities.
  • Develop a recruiting plan to staff the Fundraising committee from the chapter membership.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Fundraising should be able to attend meetings of the chapter as called by the President.

VP MEMBERSHIP

  • Oversee the planning and execution of prospective member activities for the Chapter.
  • Work with the National Office to facilitate the letter invitation process to prospective members.
  • Identify and plan activities to provide existing members the opportunities to meet and “get to know” other members. 
  • Identify potential candidates for honorary membership from the surrounding community.
  • Develop a recruiting plan to staff the Membership committee from the chapter membership.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Membership should be able to attend meetings of the chapter as called by the President.

VP LEADERSHIP DEVELOPMENT

  • Coordinate and link on-campus leadership development programs to the chapter members.
  • Identify leadership opportunities on campus and in the community and engage chapter members in these opportunities.
  • Develop a recruiting plan to staff the Leadership Development committee from the chapter membership.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Leadership Development should be able to attend meetings of the chapter as called by the President.

VP ACADEMIC ACHIEVEMENT

  • Identify chapter members willing to participate as mentors in specific disciplines of study.
  • Identify both on-campus and off-campus resources to facilitate and augment an academic achievement program.
  • Provide a comfortable forum and communications path for members to express their needs in the area of academic achievement.
  • Develop a recruiting plan to staff the Academic Achievement committee from the chapter membership.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Academic Achievement should be able to attend meetings of the chapter as called by the President.

VP MENTORING

  • Identify and establish contact with any existing community-based mentoring programs in the community.
  • Develop understanding of the role the chapter can play in any existing community mentoring initiatives.
  • Where no existing community based mentoring programs exist, seek out opportunities to start a program through the National Mentoring Partnership.
  • Develop a recruiting plan to staff the Mentoring committee from the chapter membership.
  • Provide updates during regular chapter meetings of the activities of the committee.
  • The VP of Mentoring should be able to attend meetings of the chapter as called by the President.

VP TECHNOLOGY/WEBMASTER

  • Maintain and update the local Chapter website.
  • Monitor the organization’s directory listing with the student activities office or the department responsible for maintaining the information for the student organization listing on the university website.
  • Ensure that upcoming chapter opportunities are posted on the local chapter website.
  • Provide updates during regular chapter meetings of the status of the above items.
  • The VP Technology/Webmaster should be able to attend meetings of the chapter as called by the President.

HISTORIAN

  • Ensure that all chapter activities are reported through the web-based reporting form.
  • Maintain all chapter documentation and materials essential for transition to the next chapter leadership team.
  • Record each chapter activity through narrative and photography for archiving in chapter records and with the National Office.
  • Provide updates during regular chapter meetings of the status of the above items.
  • The Historian should be able to attend meetings of the chapter as called by the President.
